Their commitment to quality and efficiency drives their success, and they are seeking a motivated individual to join their team and help them continue their growth.Job Overview: As the Senior Real Estate Operations Manager, you will oversee and manage the listing process for residential properties, ensuring compliance with relevant regulations and optimal presentation. Your primary responsibilities include coordinating the preparation and distribution of seller disclosure packages, managing the listing input in the MLS, and facilitating communication between various team members. You will work closely with market-specific teams, including construction, estate sales, and real estate professionals, to ensure a seamless process from listing to sale. Your role requires meticulous attention to detail, strong organizational skills,
and proficiency in photo editing and document management.Responsibilities:Listing prep: Seller Disclosure Package - California Association of Realtors Contracts (C.A.R)Collect disclosures, reports, HOA docs, and invoices from prior purchases and save them to our Dropbox folders.Review reports, invoices, and disclosures provided by the True Legacy Field Project Manager. Confirm descriptions are accurate and review any discrepancies with the Field Project Manager.Complete seller disclosure forms Seller Property Questionnaire (SPQ), Transfer Disclosures Statement (TDS), and internal form Attachment A.Complete C.A.R. from Receipt for Reports (RFR)
and attach all related receipts and reports.Communicate with the market-specific Director of Investments for approval of disclosure package and send to market-specific Listing Manager for distribution.Photo Editing and MLS Input:Organize the photos to create a showcase of the home's best features.Edit the photos using Photoshop to remove blemishes, add missing or unfinished construction work, turn lights on, remove unsightly items, etc.Download and save tax records and property profile to Dropbox.Complete listing input in MLS, ensuring all required fields are accurately filled out.Write a detailed listing description of the home for MLS listing.Send listing agreements and required documents via Docusign for seller signatures.PSIRGO input.
Open new transaction and upload required docs to Sotheby’s system.Update transaction details in internal systems.Place order to install for sale sign.Review HOA docs / contact HOA to confirm what is covered by the HOA fees.Assign lockbox to listing (Supra and Sentri lock systems).Communicate with market-specific construction, estate sale, and real estate teams to coordinate efforts.Receive Purchase Contracts:Collect offers and file to Dropbox. Confirm sufficient proof of funds and a pre-approval letter are included. Request any missing documentation.Review each offer and summarize offer terms using the Excel offer comparison tool including, purchase price, earnest money deposit amount, down payment amount, loan type, contingency time frames, home warranty, termite, offer expiration date, buyer’s agent commission,
and any other special terms.Communicate with market-specific Listing Manager and Listing Agent regarding offers.Appraisal Package:Collect required docs from Dropbox to create the Property Renovation Summary. Edit with Markup or a similar program.Create before and after photo comparisons using PowerPoint.Using the MLS, complete a comparative market analysis (CMA) to support the accepted offer price. Make notes on each comp highlighting how it supports our accepted offer price.Collect permits from Dropbox (If applicable).Download the showing log from MLS, Supra Key, Or Sentrilock and annotate with number of showings and days on market.Collect page #1 of any relevant backup offers and annotate key offer terms.Copy fully executed purchase contract and include in folder.Communicate with market-specific Listing Manager regarding offers.Request for Repairs:Receive the Request for Repairs (RR), confirm that all inspections, reports, and invoices are included,
and save documents to Dropbox.Copy and paste all requested repairs to the RR Word doc and email to the market-specific Field Project Manager and Listing Manager.Requirements:At least 2 years of experience in real estate, property management, paralegal work, or a related administrative role.High school diploma or equivalent required.Advanced proficiency with Microsoft Office Suite (Excel, PowerPoint, Word).Experience with Dropbox and DocuSign.Basic understanding of comparative market analysis (CMA) and appraisals.Exceptional attention to detail and organizational skills.Strong written and verbal communication skills.Strong ability to handle and organize critical documentation.Ability to multitask and meet deadlines in a fast-paced environment.Preferred qualifications:Experience in paralegal, legal assistant, or loan officer roles is highly desirable.Hands-on experience with MLS input and transaction coordination.Associate’s or bachelor’s degree in business, real estate, or a related field is preferred but not mandatory.Proficiency with Adobe Photoshop for photo editing.Benefits:Competitive salaryNine (9) paid company holidaysAccrued Paid Time Off (PTO) of 80.0 hours per year, accrued at a rate of 3.33 hours per pay period.Opportunities for professional growth and development.A supportive and collaborative work environment.Company swag upon hireApplication Disclaimer: Please Read Before ProceedingTo ensure a fair evaluation process, please submit all required information on the application form.
