**Position Summary**:

**Duties and Responsibilities**:
- Coordinating with the proposal leads, professional technical staff and marketing/graphics team to prepare proposals which includes collecting and analysing business related information then writing designing, editing and producing proposal documents
- Acting as the primary point of contact during the proposal process, creating a submission schedule for the proposal team in regard to communications and reminders on internal proposal deliverables and deadlines
- Contributing to the generation, collection, dissemination and storage of proposal-related information, and analysing in-bound proposal requests (such as RFQ, RFP, EOI, etc) to help prepare responses
- Developing opportunity-specific content as necessary, including organizational charts and schedules
- Coordinating team members and implementing internal deadlines to complete proposal forms, custom resume alterations, additional information from subcontractors etc to meet the proposal due date
- Maintaining and updating CRM and content library with high quality content
- Assisting with non-technical writing for proposal efforts and provide editorial oversight,
including copy writing and editing
- Assisting with BD effort as needed, including identification of potential clients and opportunities, clients follow up, structuring clients directory
- Supporting marketing functions as needed in areas such as event organization and facilitation, photography, writing project descriptions, liaising with the global communications team and supporting speaking engagements and presentations
- Creating content and stories for social media highlighting Latin American projects
- Meeting with Corporate Marketing Team to ensure brand standards are upheld
- Conducting market research on BD opportunities and upcoming awards and supporting project teams on award submissions
- Tracking and coordinating project photography
- Authoring the internal weekly IBI newsletter with important announcements, project wins and social event updates and stories
- Assist with final close-out processes and file management
- Participating in and facilitating marketing/proposal strategy sessions
- Supporting important office communications and announcements, proof-reading, editing etc
**Qualifications**:
**Skills and Qualifications**:
- Native Spanish speaker with excellent written and spoken English language ability
- 5+ years of related experience in the AEC or equivalent industry or within a proposal setting
- Experience with AEC - P3 Proposals would be considered an asset
- Experience with BD identification and coordination will be of value
- Diploma or Undergraduate Degree in Marketing, Communications, Graphic Design, Business, or another related field preferred
- Experience managing multiple tight production deadlines in a fast-paced environment
- Comfortable coordinating with individuals at different levels of the organisational hierarchy
- Proficiency in 2013 Microsoft Word, Excel, PowerPoint, Adobe Acrobat X Pro and Adobe Creative Suites - specifically InDesign, Photoshop, Illustrator, AutoCAD - InDesign skill would be an asset
- Excellent writing, editing and grammar skills
- Excellent communication, organization, attention to detail and problem-solving skills
- Enthusiastic attitude and strong work ethic
- Flexibility to work with a variety of personalities
- Must be prepared to work outside of normal business hours to meet delivery schedules
