Responsibilities

The Opportunity

The Senior Executive Assistant plays a pivotal role in providing advanced support to key executives. Responsibilities include overseeing Travel & Expenses management, Reimbursement activities, Meetings & Visits coordination, and critical administrative functions, with an elevated focus on strategic support, American Express Support, Travel & Logistics activities, and other essential administrative functions while remaining adaptable to additional tasks as requested.

Your Impact

As Senior Executive Assistant your responsibilities would consist ofcovering the service for executives:

Travel & Logistics:

- Coordinate and book domestic and international travel for executives, including itineraries, flights, hotels, and transportation.




- Collect and organize receipts and documentation related to travel expenses.
- Prepare and submit expense reports on behalf of executives, ensuring compliance with company policies.

Reimbursement:
- Preparation of requisitions
- Collect and organize expense receipts, ensuring they align with company policies.
- Open and manage tickets for reimbursement requests, ensuring prompt closure.
- Communicate with executives to clarify or obtain additional information regarding expense reports.

Meetings & Visits:
- Schedule and organize meetings for executives, considering time zones and preferences.
- Coordinate visits from clients, partners, and other stakeholders.
- Arrange logistics for visitors, including accommodations, transportation, and meeting spaces.

AMEX:
- Facilitate the issuance of American Express corporate cards for executives.




- Reconcile AMEX statements with expense reports and ensure accurate documentation.

Local Admin:
- Monitor and replenish office supplies, ensuring that essential items are always available.
- Engage with local vendors for services such as cleaning, catering, and office equipment maintenance.
- Manage incoming and outgoing mail and packages, distributing them to the appropriate recipients.
- Ensure compliance with local regulations and handle any administrative requirements as needed.

Qualifications

Who Are We Looking For?

- Bachelor’s degree in human resources, Industrial engineering, Business Administration, or Related Field.
- 1-3 years of previous professional experience in HR Operations (or 1 year in Personal/Executive Assistance environment is preferred) and/or related education.
- Advanced English
- Management Assistance Experience




- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
