**WHAT TO EXPECT**

Located in our Santa Fe office, you will be helping to communicate action plans with the project team and gather necessary resources for each project that is assigned to the GCS.
For this role,
your central duty is to make sure each team member is consistently aware of the current project status and that they are aware of their expected contributions and timelines so it is essential that you have good communication and collaboration skills
**Key responsibilities**:
- Divide larger projects into managable tasks with individual timeframes, goals, and staff assignments
- Monitor and update progress and workflows as each project continues through the project lifecycle
- Retrieve assets and source files from GCS and Gates archives as needed (e.g.
high-res image files, working design files, etc.)
- Ensure that all deliverables are named consistently and accurately using the defined GCS file naming conventions.
- Create and manage an easily accessible and searchable file storage hub for all GCS projects from the past as well as current projects.
- Use strong time management skills to help the team stay on track.
- Monitor project progress and flag potential issues with the appropriate resources
- Review project work through established quality controls to ensure deliverables meet requirements and are brand-compliant
- Act as an internal GCS main point of contact for all project participants
- Depending on the project and its requirements, schedule regular internal GCS team meetings and record outcomes (e.g.
assigned tasks and next steps)
- As needed, help to prepare and provide GCS documentation to internal teams for various requests.
**ABOUT YOU**
- 2 to 4 years of prior experience as a Project Coordinator, Project Administrator or a similar role at an advertising agency or coordinating creative teams.
- College degree in Marketing and Communications, or similar.
- Excellent written and verbal communication skills.
- Fluency in both written and spoken English.
- Experience using project management tools such as Asana and Smartsheet is preferred but not mandatory
- First-hand experience creating and interpreting technical documentation, flowcharts, and schedules
- Ability to work in a fast-paced team environment
- Experience working with global teams and/or managing global projects.
- Basic knowledge of brand, marketing, and communication theory.
- Basic knowledge of social media platforms and their characteristics as they relate to effective content design.
- Advanced knowledge of shared file-storage solutions along with effective strategies to optimize for a high volume of large files
- First-hand experience coordinating projects from brief to implementation.
- First-hand experience properly preparing files for digital and print production.
- Must be willing and able to work in a collaborative setting with a diverse group of people onsite at our Santa Fe, Mexico location
- Exceptional time-management and organizational skills with a keen eye for detail
- Strong multitasking skills with the ability to prioritize tasks
- Ability to be flexible by pivoting when established plans are modified for unforeseen reasons and real-time influences
- Outstanding interpersonal skills with the ability to influence team members who have varied work/communication styles
- Demonstrable ability to work independently and manage your project responsibilities autonomously from start to finish, as well as in a group setting.
- Excellent problem-solving skills to effectively formulate project workflows based on previous experience, team expertise, client expectations and deadlines.
- Ability to creatively optimize limited time frames
- Ability to accept feedback on projects in a professional manner and implement directed changes.
- Familiarity with Mac operating system
