About the role
We are seeking an experienced and detail-oriented Executive Assistant to support our Chief Human Resources Officer (CHRO), who is based in the United States. This role is critical in ensuring the CHRO’s daily operations run smoothly and efficiently. Based in Guadalajara, Mexico , the Executive Assistant will take ownership of administrative tasks and also contribute to Human Resources (HR) and recruiting projects, providing exposure to strategic initiatives.
What you'll do

- Manage and coordinate calendars, meetings,
and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle confidential information with discretion and integrity.
- Coordinate and facilitate communication between US-based executives and the Guadalajara team.
- Assist in organizing company events, meetings, and off-site activities.
- Maintain and organize files, records, and office supplies.
- Assist with tracking and managing HR projects and initiatives as directed by the CHRO.
- Help coordinate and schedule interviews with candidates for open roles.
- Support onboarding and employee engagement activities, including event coordination and logistics.
- Collaborate with HR team members to ensure timely communication and project follow-ups.
Qualifications
- Language: Fluent in English and Spanish, with excellent verbal and written communication skills in both languages.
- Experience: Minimum 5 years of experience as an Executive Assistant, preferably supporting C-level executives.
- Skills: Excellent organizational, communication, and multitasking skills.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- References: Must provide strong references from previous employers.
- Location: Based in Guadalajara, Mexico, with the flexibility to work in a hybrid model (3 days in-office and 2 days remote).
