The Office Coordinator is responsible to assist the PANDORA Office and General Manager with office administrative needs including but not limited to communications coming through the front desk, registering and guiding visitors, directing callers to the right person, and handling routine administrative tasks as assigned, catering, office supplies/support, HR Support, etc.
**Essential Functions**:- Receives and screens phone calls and takes messages as required.
Take and relay messages- Receives and directs clients and visitors- Coordinating and prepares for meetings and conference calls- Coordinates travel arrangements (local, domestic and international) and prepare itineraries for onboarding, special events, and among others.




Prepares travel expenses.- Communicating effectively, both verbally and in writing, with all levels of management, directors, department members, and internal clients.- Creating, editing, and proofreading business communications for all office matters- Reviews and routing incoming mail and faxes.
Prepares and processes outgoing mail, arranging for faxing, specialized mail, or messenger services as required.
Ensures that all attachments, exhibits, and enclosures are included- Track stocks of office supplies and place orders when necessary- Coordinating office activities and operations to secure efficiency and compliance with company policies- Manages and coordinates the decoration of the office according to the special dates during the year.- Participate in special projects when needed.- Reviews, codes and follows up on invoices payments (around 350 invoices per month).- Coordinating new hire onboarding agenda, following up regarding User creation, and setting up new hire laptops, cell phones,



etc.-- Attend special requests of the departments when needed.Personal Competences:- Ability to recognize and appropriately handle highly sensitive and confidential material and information- Ability to take self-initiative and be proactive- Must have the ability to identify, prioritize, and manage important administrative issues, multi-task, and effectively prioritize work assignments in addition to handling changing priorities- Excellent verbal and written communication skills, writing and editing ability focused primarily on correspondence and related documents, highly responsible and sensitive to quick turnaround deadlines- Desire to take on new responsibilities in areas with no prior experience- Highest level of interpersonal skills and the ability to interface with senior executives,



displaying diplomacy, tact, and resourcefulness.- Ability to work under pressure and handle multiple projects simultaneously- _Requires a minimum of 5+ years experience working at an administrative level_.
