We estimate this role will be up to 25 hours per week for the first two months with the potential of moving to 35-40 per week as we scale.
Role Description
The Project Manager is responsible for managing the internal workflow and resource allocation within the agency to ensure that all projects are delivered on time, within scope, and with the highest quality.
This role focuses on overseeing internal processes, coordinating cross-functional teams, and maintaining organizational efficiency to support the agency’s execution of client strategies and campaigns.
We are looking to hire someone who is incredibly proactive and has at least 3 years of ClickUp experience
Key Responsibilities:
Project Coordination and Workflow Management
- Create and maintain detailed project plans, timelines, and schedules to track progress and ensure timely completion of deliverables.
- Assign tasks to team members based on skill sets, workload, and project requirements.
- Monitor the progress of projects and provide regular updates to leadership on milestones and potential risks.
- Ensure proper prioritization of tasks across all active projects.
Resource Management
- Evaluate team capacity and allocate resources effectively to balance workload across departments.
- Coordinate with leadership to address resourcing gaps or bottlenecks, including recommending solutions such as additional hires or outsourcing.
- Track resource utilization to optimize efficiency and identify opportunities for process improvement.
Process Development and Optimization
- Develop, implement, and refine internal project management processes to improve agency efficiency and output quality.
- Maintain and manage ClickUp to ensure it is up-to-date and effectively utilized.
- Standardize workflows and templates to streamline recurring tasks and campaigns.
Team Collaboration and Communication
- Facilitate regular internal meetings to ensure alignment on project timelines, task assignments, and goals.
- Act as a central point of communication between internal teams to eliminate silos and enhance collaboration.
- Provide clear and detailed instructions for tasks and deliverables to team members.
- Identify and resolve potential risks or issues that may impact project timelines or outcomes.
Reporting and Metrics
- Maintain comprehensive records of project statuses, timelines, and resource usage.
- Prepare regular reports for leadership on project performance, highlighting successes and areas for improvement.
- Track internal metrics such as on-time delivery rate, resource efficiency, and team workload.
Skills and Qualifications:
- Proven experience in project management,
preferably in a digital marketing or agency setting.
- Strong organizational skills and attention to detail.
- Proficiency with ClickUp & Everhour.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects simultaneously and meet tight deadlines.
- Analytical and problem-solving skills to foresee and address project risks.
- Familiarity with digital marketing processes and workflows is a plus.
