**Position: Office Manager / Design Studio - Bilingual**
Role-Mission : Our company is opening a new small office and design studio in Mexico City to support our operations in the US. We are looking for a capable individual to assist with the studio's implementation, hiring, and management of the new personnel and overall office. We want someone with experience managing an architecture office studio in the past.
**1. Office Management Responsibilities**
Adequate monitoring of projects with clients
Job scheduling
Purchase orders and expense control
Direct dealings with internal suppliers for billing and accounts
Manage the office's daily operations, maintain office equipment, computers, and supplies,



and ensure the smooth functioning of all administrative activities.
Keep track of office inventory and supplies.
Develop and enforce office policies and procedures to enhance efficiency and productivity.
Manage and support the administrative team, including designers, account coordinators, and additional administrative staff.
Organize and coordinate meetings, appointments, and travel arrangements as needed.
Track invoices and maintain financial records.
Serve as the primary point of contact for external managers in the US, clients, vendors, and service providers.
Conduct regular office inspections to ensure compliance with health and safety regulations.
Undertake additional tasks and projects as assigned by management.
**2. Human Resources Responsibilities**
Recruiting, including advertising job openings, screening applicants and conducting interviews.
Onboarding and training new employees.
Job descriptions to align on work and company goals.
Maintain and update employee records (attendance, leave, performance evaluations).




Supervise the payroll process to ensure accuracy and timeliness.
Address and resolve employee relations issues by collaborating with leadership, fostering a positive and productive work environment.
Conduct regular office inspections for health and safety compliance.
Stay updated on employment laws and HR best practices, ensuring organizational adherence.
Support with adequate management of benefits, payroll, bonus
**3. Skills and Experience**
Previous experience working and managing architecture offices
Advance English
Familiarity with design operations, 3D design, and CAD is advantageous.
Knowledge in accounting and payroll processes.
Strong organizational, time management, and multitasking abilities.
Exceptional communication and leadership skills.
Proficiency in Microsoft Office suite and other relevant software.




Handling a fast-paced work environment and meeting deadlines.
Excellent problem-solving and decision-making capabilities.
High level of discretion and confidentiality.
Ability to lead and motivate a diverse team.
Dependable and punctual, leading by example.
Strong attention to detail and a proactive approach to office and HR management.
Capable of engaging and collaborating with the team in a manner that upholds and exemplifies IEG's core values professionally.
Excellent analytical, problem-solving, and decision-making skills.
Strong attention to detail and accuracy.
Effective communication skills, both written and verbal, with the ability to convey complex financial information.
**4. Education**
A bachelor's degree or a related work experience.
Bilingual - Fluent in speaking and writing in the English and Spanish language.

**6. Position and Location**
Full-time position
In Office, Colonia Napoles, CDMX, Mexico
Competitive Salary Based on Experience
Schedule: 8:30 AM - 5:30 PM, M-F
**7. Salary**
Starting salary MXN$40.000 - MXN$50.000 month gross / brutos or to be agreed depending
on experience. End of the year bonus based on performance.
Pay: $40,000.00 - $50,000.00 per month
