**Executive Assistant**:
Mexico City - Mexico
The Executive Assistant is responsible for performing secretarial and administrative duties, executes complex and confidential administrative assignments.
This person applies advanced computer and process skills with a detailed understanding of the organization's operation.
The Executive Assistant supports the Business System Administrator with day-to-day activities.
**Roles & Responsibilities**
- Answering phones calls and taking messages
- Welcoming all visitors and interacting with them
- Managing scheduling and appointments
- Arranging meetings and other events
- Managing mail/fax communications
- Managing traditional paper and/or electronic filing systems
- Performing basic bookkeeping/clerical duties
- Setting and managing the daily schedules and calendars of company executives
- Preparing and/or editing documents, such as expense reports, memos and invoices
- Creating spreadsheets, managing databases, preparing presentations
- Negotiating with vendors
- Order necessary office supplies
- Managing corporate stock rooms and/or libraries
- Managing videoconferencing, fax communications and office equipment
- Reviewing incoming documents
- Conducting research
- Training and/or supervising clerical workers
**Minimum Job Qualifications**
- Bachelor Degree in Administration, Accounting or related
- At least 5 years of recent experience in a similar positions
- Stable work history (minimum 2 years in the same job)
- Adavance knowledge in Office 365
- Conversational English (Advanced level)
- Location: Mexico City (residence in Mexico is a must)
- Excellent verbal and communication skills, good judgement, proactive, and strong time management skills in order to meet deadlines.
- Experience in dealing with senior management
