Schedule: Monday to Friday: 10:00 am - 6:00 pm ESTJob Overview:We are seeking a highly organized and detail-oriented Office Support Specialist to join the team of a healthcare company that has offices in 4 different countries.
This position plays a key role in ensuring smooth back-office operations and effective communication with clients.
The ideal candidate will be responsible for reaching out to clients to obtain necessary forms and documents, managing administrative tasks, and providing crucial support to various teams within the organization.Key Responsibilities:Client Communication:Contact clients to collect required forms, documents,
and information necessary for processing healthcare services.Follow up with clients to ensure timely submission of documents and resolve any issues related to paperwork.Maintain a professional and friendly demeanor when communicating with clients via phone, email, or other communication channels.Document Management:Review, organize, and update client records, ensuring all required documentation is complete and accurate.Maintain a well-organized filing system for client forms, documents, and records (physical and digital).Ensure compliance with healthcare regulations and company policies regarding document handling and confidentiality.Administrative Support:Provide back-office support for other teams, including scheduling appointments, data entry, and preparing reports.Assist with maintaining accurate and up-to-date client databases and systems.Help with general office tasks such as filing, faxing, scanning,
and copying as needed.Qualifications:High school diploma or equivalent required; Associate's degree or higher in office administration or related field preferred.3-5 years previous experience in an office support or administrative role, preferably in healthcare or a related field.Strong organizational skills and attention to detail.Excellent written and verbal communication skills.Ability to handle confidential information with discretion and professionalism.Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with office management software.Ability to work independently and as part of a team.Strong time management skills with the ability to prioritize tasks in a fast-paced environment.Familiarity with HIPAA is a plus!Seniority levelMid-Senior levelEmployment typeFull-timeIndustriesOutsourcing and Offshoring Consulting#J-18808-Ljbffr
